Sales Admin Assistant (5-Day Week, Woodlands)

About the role

A client of Mavenside Consulting is looking for a proactive and meticulous Sales Admin Assistant to support its Sales and Operations teams. The role covers quotation workflows, purchase order tracking, coordination with site supervisors and handovers to Finance for invoicing. It is a full-time position in Woodlands, working Monday to Friday from 8:30am to 6pm; the office is relocating to Tagore at the end of the year.

Key responsibilities

• Draft sales quotations from the scope and pricing given by the Site Team and Sales Manager, and review them for accuracy in scope, quantities, rates, payment terms and attachments
• Verify incoming Purchase Orders against approved quotations and flag discrepancies to the Sales Manager
• Track project variation orders and coordinate revised quotations or additional POs
• Maintain the Master Tracking File (quotation status, PO status, work progress, target completion dates)
• Work with Site Supervisors on ongoing, pending and completed jobs, and prepare Service Completion Reports and Delivery Orders with client signatures
• Hand over signed documents and complete project files to the Accounts Receivable team
• Generate monthly operations and sales admin reports and escalate delays or missing documents to the Sales Manager
• Keep digital and hardcopy records of quotations, POs, signed delivery orders and client correspondence

Required profile

• Minimum 1 year of experience in sales administration
• Minimum N or O level
