Workplace Engagement Executive – Secretarial Support

About the role

The Workplace Engagement Executive provides high‑level administrative and secretarial support to Shiseido Asia Pacific’s Executive Committee while driving workplace engagement initiatives across Singapore and Malaysia. The role ensures smooth daily office operations, effective travel coordination, and the delivery of culture‑building programmes.

Key responsibilities

• Deliver administrative and organisational support to assigned Executive Committee members, including calendar management, meeting coordination and document preparation.
• Arrange domestic and international travel, liaise with vendors, manage travel budgets and resolve any travel‑related issues.
• Raise purchase orders, process invoices and coordinate delivery of goods for the division.
• Support the planning, execution and budgeting of workplace engagement activities that promote a positive culture in Singapore and Malaysia.
• Collect and analyse employee feedback, track engagement metrics and prepare reports for the Workplace Engagement Manager.
• Oversee onboarding and off‑boarding logistics, including office tours, welcome kits and internal communications.

Required profile

• Proven experience providing administrative or secretarial support to senior executives.
• Strong organisational and planning abilities with attention to detail.
• Experience coordinating business travel and managing related budgets.
• Ability to collaborate with HR and cross‑functional teams on engagement programmes.
• Excellent written and verbal communication skills.
