Assistant Manager, General Administration

About the role

The IB&M Finance & Operations Asia team, part of the Financial Services team within the Commonwealth Bank Group, has a team responsible for general administration of the Singapore Branch. This position provides administrative support services to the Singapore branch, interacting with internal stakeholders and external customers or visitors, and works closely with the CFO, Singapore. It reports directly to the CFO, Singapore.

Key responsibilities

• Lead the day-to-day administration and facilities management of the Singapore Branch, keeping the office professional, efficient and well managed.
• Provide administrative and operational support to senior Singapore and regional leadership and other business stakeholders.
• Oversee travel and expense management, procurement, supplier management, office and equipment maintenance, security, access and warehousing arrangements.
• Coordinate leadership and team meetings, internal functions, off-sites and employee engagement events.
• Support governance, risk and business continuity requirements, including control reviews, procedure maintenance and adherence to Bank policies.
• Coordinate corporate administration and regulatory activities, including liaison with the Singapore Corporate Secretary on statutory filings, accounts and director particulars, and Group insurance matters.
• Manage operational finance activities such as staff expense claims and supplier invoice payments, and support ad hoc projects and Branch initiatives.

Required profile

• At least 5 years' experience in an office administration role in multinational companies, preferably in a foreign bank's branch environment.
• Demonstrated experience supporting senior executives and people management.
• Strong written and verbal communication skills.
• Exceptional organisational, time management and interpersonal skills.
• Self-motivated, proactive, independent and able to work unsupervised.
